Privacy Notice
Your tax information is among the most sensitive data there is. This notice explains, in plain English, how your nonpublic personal information is collected, used, shared, and protected.
Provided under the Gramm-Leach-Bliley Act (GLBA) · Effective date: 7/15/2026 · Applies to current and former clients
What we collect
To prepare and file your return we collect the information tax preparation requires: your name, contact details, date of birth, Social Security number, filing and dependent information, income documents (W-2s, 1099s, and similar forms), prior-year returns you provide, and the bank account you choose for your refund or any balance due.
How we use it
We use your information for exactly one purpose: preparing, reviewing, and e-filing your tax return and servicing your engagement (including collecting your preparation fee and communicating with you about your return). We do not use your tax return information for marketing without your separate, written consent, as federal law (IRC §7216) requires.
How we share it
We never sell your information. We share it only with service providers who help us prepare your return and who are bound to confidentiality: our automated document-reading service (with your §7216 consent), our payment processor (which handles your card directly; we never see card numbers), and the authorized e-file transmission software used to file with the IRS and your state. We also disclose information when the law requires it (for example, to the IRS as part of filing your return).
Sharing with affiliates
We do not share your nonpublic personal information with our affiliates.
Your right to opt out
Because we share your information only with the service providers who help prepare and file your return, only as needed to complete your engagement, and only as required by law, and because we never sell it, federal law does not require us to offer an opt-out, and there is no such sharing for you to opt out of. If we ever proposed to share your information with a nonaffiliated third party for any other purpose, we would notify you first and give you the right to opt out.
How we protect it
Your documents and identifiers are encrypted in transit and at rest; your Social Security number and bank details carry an additional layer of application-level encryption and are only ever displayed as the last four digits. Every access to your files and tax data is written to a tamper-evident audit log, uploads are malware-scanned, and access follows least-privilege: only you and the staff working your return can see your information.
How long we keep it
Federal law requires paid preparers to retain return records for at least three years (IRC §6107; Form 8879 retention rules). After the required retention period, records are securely destroyed. We apply the same privacy and security practices described in this notice to information about our former clients.
When you receive this notice
We provide this notice when you become a client. Because we limit sharing to the purposes described above and do not sell your information, we are not required to resend it every year; we will provide an updated notice if our privacy practices change.
Your choices
You may review or update your profile information in your portal at any time, and you may revoke any marketing-related consents (we do not have any by default). Questions about this notice, or a request about your information? Contact us at (520) 544-4909 or at hailey@greenbergfinancial.com and a human will respond.
